Terms and Conditions

We look forward to welcoming you to The Bedford Hotel.  Your booking with us will be subject to a few terms and conditions, which we’ve outlined below:

Card Details

When you book with us, either online, over the phone, or at our Reception desk, we will request your credit or debit card details. By providing these details, you authorise us to use your card for any sums owned to us in connection with your stay. Under certain circumstances (for example, special events, offers and group bookings), we may require payment in full, or payment of a deposit, in advance.  No booking is confirmed until any required pre-payment is received by us.

Charges

The prices displayed on our website and elsewhere include VAT at the prevailing rate.  VAT will be payable on all goods and services received at the prevailing rate applicable at the time of stay or consumption. Unless specified otherwise, your room rate includes full breakfast.  Other meals are not included in your room rate, except where specified. Prices for additional items, such as drinks, meals and room service, are available on request from a member of our staff at the hotel.

Proof of Identity

For security and fraud-prevention, we may ask you to confirm your identity at check-in with a passport, driving licence and/or valid credit or debit card.  For guests travelling from outside the UK and Ireland, we will require your passport/identity card details at the time of check in, and these details will be kept for at least 12 months and may be disclosed to relevant authorities if required by law in connection with the prevention or investigation of crime.

Check In and Check Out

Unless otherwise specified by us, your room will normally be available from 3pm on the scheduled day of arrival. Unless prior arrangements have been agreed by us, we would request that you check in no later than 11pm. On your day of departure, we would ask that you vacate your room by 11am.  Late check-out after this time will be by arrangement, subject to availability, subject to charge, and at the discretion of the hotel.

Settlement of Accounts

We will normally take payment for your accommodation charges on the day of check-in, unless already pre-paid. We accept Mastercard and Visa credit and debit cards. We also accept cash (UK Pounds).  We do not accept American Express or cheques.   We will take a swipe of your credit or debit card at check-in for pre-authorisation purposes.  We reserve the right to pre-authorise for your anticipated incidentals for the duration of your stay.  At our discretion, we may alternatively accept a cash deposit in place of payment card authorisation. If the costs of your incidentals exceed the authorisation taken at check-in, we reserve the right to request further authorisation. All outstanding charges must be paid for in full on check-out from the Hotel.  If you are staying with us for multiple nights, we may ask you to make for any accrued charges on a more frequent basis during your stay.

Cancellation Policy

We have a 72-hour cancellation policy. In the event of non-arrival, or cancellation made after 2pm three days prior to your booked arrival date, a charge equivalent to the rate booked for the first night of your stay will be charged to your credit/debit card.  Pre-paid rates (for example, advance booking rates, group rates, events and special occasions) are non-refundable unless specified otherwise.  We strongly advise that you take out suitable travel insurance to cover you for cancellation or curtailment.

Cancellation by Us

In the very unlikely event that we need to cancel your booking, we will provide you with a full refund of any pre-payment, but shall have no further liability to you arising from such a cancellation.

Room Types

Your booking is for a category of room within the hotel, and there is no guarantee of a specific room.  If you have indicated a preference for a particular room we will use reasonable efforts to honour this preference, but without guarantee. In the unlikely event that we should need to allocate you to a lower grade room than that which was booked, we will adjust your rate accordingly but shall have no further liability to you arising from such a downgrade.

Damage

We reserve the right, and you hereby authorise us, to charge your credit or debit card for any damage incurred to your room or the hotel during your stay (including without limitation specialist cleaning) or for any items that are missing when you leave.

Accessibility

If you have any specific accessibility requirements due to reduced mobility, please contact us at the time of booking to discuss your requirements and room suitability.

Allergens

We are pleased to cater for special dietary requirements with advance notice. Please speak to a member of our team if you need additional information on any of the ingredients we use.

Parking

Parking is charged at £8 per 24 period or part thereof – but we are pleased to offer free car parking for the duration of your stay when you book your room directly with us, over the phone or via our own website.

Parking is free to non-residents while using our bar or restaurant.

Lost Property

Lost property will be kept for 28 days. If you believe that you have left anything at the hotel, please call us as soon as possible and we will do our best to help. We reserve the right to charge for postage and packing in returning items of lost property, and an administration fee at our discretion. We are unable to accept liability for loss or damage to any items left at the hotel.  Lost property of negligible value may be disposed of prior to expiry of the 28 day period, at the hotel’s discretion.

Events at the Hotel

Please be aware that on various dates we may host weddings, events and parties at the hotel, which you may feel would be an intrusion on your break.  Please contact us directly in advance of your stay if you have any concerns in this regard.

Conduct

Our guests are requested to conduct themselves appropriately at all times while on the hotel premises, and to comply with any reasonable request by a member of a staff.  Guests are requested not to disrupt the comfort and enjoyment of other guests, the smooth running of the hotel, or cause offence to other guests or our members of staff.  We reserve the right to refuse accommodation or services and/or remove you and members of your party from the hotel if, in our reasonable opinion, we consider this provision to have been breached. Where this is the case shall have no obligation to refund you for lost accommodation, other services or any other loss or expense incurred.

Smoking

By law, smoking is not permitted in any part of the hotel.

Children

Children are very welcome at the hotel.  All children (a child being a person under 16 years of age) must be accompanied by an adult and supervised by an adult at all times. Cots and extra beds can be provided, subject to availability, advance booking and additional charges. Please discuss your requirements with us at the time of booking. Unless otherwise specified, all child accommodation rates are on a bed and breakfast basis, with other meals charged as taken.

Dogs

Dogs are very welcome at the hotel, in many of our rooms, by prior arrangement and subject to additional charge. Dogs are not permitted in the restaurant, with the exception of guide dogs.  We reserve the right to charge for any damage to hotel property caused by your dog.

Privacy and Personal Information

We reserve the right to record telephone calls in order to improve the service we offer. CCTV is in operation in public areas of the hotel for safety and security purposes. We undertake to guard any personal details with which you provide us, and we will not pass on any information about you to any third party without your permission (with the exception of fulfilling a request from an approved authority for the purposes of crime prevention or detection).

Force Majeure

We accept no liability where the performance of our obligations is prevented or affected directly or indirectly by or as a result of force majeure or any circumstances beyond our reasonable control including, but not limited to, flood, earthquake, extreme adverse weather conditions, natural disasters, other acts of God, acts of terrorism, fire or failure of electric power, gas, water, or other utility service, plant machinery, computers, vehicles or any collapse of building structures.

Limitation of Liability

We will not be responsible for the loss or damage of any property left in the Hotel other than as required under the Hotel Proprietor’s Act 1956 or any other applicable law. We will not be liable for any indirect or consequential loss, or any loss of profit, goodwill or opportunity (whether caused by the negligence of the Company, its employees, contractor or agents or otherwise).

Applicability

The above terms of conditions apply to general accommodation bookings.  Alternative terms and conditions may apply to special events and functions.

Gift Vouchers

All our gift vouchers feature a unique voucher number, may only be redeemed once, may not be exchanged for cash, or replaced if lost. Gift Vouchers are non-transferable and non-refundable. The gift voucher must be presented upon arrival when redeeming the voucher. No photocopies will be accepted. Advance bookings may be necessary. Cancellation of a booking with less than 72 hours before the day of arrival will render the voucher null and void. Vouchers are valid for 12 months from date of purchase unless stated.
